A coordinator who stops answering. A bartending company that cancels and keeps the deposit. A venue that closes for renovations months before your date. These aren't hypotheticals. They have all been in the news this month. If it's happening to you, here's a calm, step-by-step plan.
This month's wake-up calls
Recent local news coverage shows how this tends to go wrong:
- A day-of coordinator who allegedly disappeared. Brides in Metro Detroit told Local 4 that a "day-of" coordinator stopped communicating before their weddings. One said nobody from the business showed up on the day, so her family and bridesmaids set everything up themselves. Outlets noted the fee was far below what the service usually costs.
- A bartending company and nearly 100 brides. Local 4 also reported on brides who said a mobile bartending business canceled on them or didn't return deposits. A new owner has said it will honor existing contracts.
- A landmark venue closing for years. ABC7 New York reported that the Plaza Hotel plans to close for about four years starting in January for restoration work. That leaves at least one couple with a spring booking looking for a new venue, and possibly a new date.
The common thread isn't bad luck. It's having no plan B, and finding out late.
(If you're still choosing vendors, read our guide on how to protect yourself from bad wedding vendors first. This post is for when something has already gone wrong.)
Hour 0–6: confirm and document
- Try every channel once, in writing. Email, text, the booking platform's messages and the business's social accounts. Keep it short: "We haven't heard from you since [date]. Please confirm by [time tomorrow] that you're still providing [service] on [wedding date]."
- Collect everything. The contract, invoices, receipts, every message and screenshots of the vendor's website and reviews. Pages can disappear.
- Check what you paid with. A credit card gives you the strongest options. Most issuers let you dispute a charge for services that weren't delivered, and there are time limits, so don't wait.
Hour 6–24: protect your money
- Read the cancellation and refund clauses. Look for force majeure, what happens if the vendor cancels, and any substitution clause (some vendors may send a replacement).
- Send a formal written notice asking for performance or a refund by a specific date. It matters later if you file a dispute or a complaint.
- File where it counts. Your card issuer, your state attorney general's consumer protection office, and the platform you booked through, if you used one.
- Compare notes with other couples. Several of this month's stories surfaced because couples found each other online. More reports mean faster action.
Hour 24–48: replace the vendor
- Call the next names on your shortlist first. You researched them once already, and many keep last-minute openings.
- Ask your venue and your other vendors. Photographers, florists and planners know who is reliable and who has your date free.
- Scale down if you need to. A beer-and-wine bar from the venue instead of a full cocktail service, or a trusted friend running the timeline with a printed run-of-show. Done is better than perfect.
- If the venue itself is gone, decide in this order: date first (keep it or move it?), then guest count, then location. Every other vendor depends on those three answers.
Tell your guests once, clearly
When something big changes, like a venue, a time or a location, the worst outcome is half your guests getting the update. Skip the group texts and screenshots.
- Update one source of truth. Change the details on your wedding website, then send a single short message: "Our plans changed. Everything's updated here: [link]."
- Put the update at the top. A clear note in your welcome text ("Updated: new venue as of Oct 20") stops people relying on an old save-the-date.
- Re-check RSVPs. A new date or location means some answers will change. Ask guests to confirm again, and follow up only with the people who haven't.
With Wedflip you edit your wedding website once and every guest who opens the link sees the new details. RSVPs and your guest list stay in the same dashboard, and you can import guests from a CSV if you're rebuilding your list in a hurry. You can start free, and WEDSEASON30 takes 30% off Plus or Pro.
The "never again" checklist
- ☐ Pay deposits by credit card, not cash or bank transfer.
- ☐ Get a written contract with names, dates, services and the cancellation terms.
- ☐ Keep a backup shortlist of 2 vendors for each critical role.
- ☐ Confirm with each vendor in writing at 60, 30 and 7 days out.
- ☐ Be cautious of prices far below the local market. Ask why they're lower.
- ☐ Keep every detail guests need in one place you control.
FAQ
Can I get my deposit back if a vendor disappears? Often, but how depends on your contract and how you paid. Card disputes are usually the fastest route, and they have deadlines.
What if my venue closes before my wedding? Read your contract's cancellation terms, ask the venue whether they're helping couples relocate, and decide on your date before booking anything else.
How do I tell guests about a venue change without chaos? Update your wedding website first, then send one message with the link. Ask for fresh RSVPs if the date or location changed.
