Two weddings went viral this autumn, and neither went to plan.
In Sydney, a severe thunderstorm with hail hit an outdoor reception on October 3. Footage shared by guest Aniella Batten via Storyful shows guests lifting chairs to prop up a tent ceiling sagging under the weight of rainwater, according to the New York Post. One commenter's verdict: "Rain, hail or shine, the show must go on."
In North Carolina, Jayden Sink and Kimberly Laprad arrived on Hatteras Island at 4 a.m. for their September 25 wedding. A nor'easter washed out Route 12 "about 30 minutes to an hour after we got here," Sink told WDBJ7, and their friends and family couldn't reach the island. With roughly $30,000 already spent and nothing refundable, they went ahead anyway. Frisco Woods Campground lent them a space, a local DJ played, island restaurants sent food, everyone on the island was invited, and WDBJ7 reports more than 400 cars showed up.
Both stories end well because people improvised. You'd rather not have to. This is the plan you write months ahead, so on the day the only decision is which version you're running.
Start with the threat that actually fits your date
"Bad weather" is four different problems, and each one needs a different fix.
| Threat | When it bites | What it breaks | Your main defense |
|---|---|---|---|
| Rain | Any season | Ceremony aisle, photos, lawn games, guest shoes | A covered space booked in advance |
| Hail and thunderstorms | Spring and summer afternoons, any warm region | Tents, outdoor power, anything under open sky | A solid building nearby, plus a tent you can evacuate |
| Heat | Summer, and late spring in the South and Southwest | Older guests, officiants in suits, flowers, cake | Shade, timing, water, cooling |
| Hurricanes and tropical storms | Atlantic season runs June 1 to November 30, per NOAA, peaking around September 10 | Travel, roads, power, the venue itself | Insurance bought early, a postponement clause, a guest update system |
If you're getting married on the Gulf Coast, the Carolinas or Florida between August and October, the last row is your whole plan. NOAA also notes a secondary peak in mid-October for the Caribbean and the Gulf. Planning a Caribbean wedding in those months? Our destination wedding planning guide covers the travel side.
Put the rain plan in the venue contract
The most common weather mistake isn't a missing tent. It's a rain plan that exists only as something the coordinator said on the tour. Before you sign, get these answers in the contract or an addendum:
- What is the indoor backup space, exactly? Name the room. Ask for its seated capacity in ceremony rows and in banquet rounds, because those are different numbers.
- Is the backup space held for you, or first come, first served? At venues running two events a day, the other wedding may already have it.
- Is there an extra fee to use it? Some charge for flipping a room at short notice.
- Who makes the call, and by when? Write down the deadline for choosing the rain plan, and whether you or the venue has the final say.
- What happens if the venue itself is damaged or unreachable? Markel recommends adding a natural disaster clause that voids the contract and entitles you to a refund if a hurricane hits, and a rescheduling clause so you can move the date "without losing your deposit or incurring any additional fees."
- Can you postpone instead of cancel? A postponement clause with a defined window (say, within 12 months) is often easier to negotiate than a refund.
Ask your other vendors the last two questions too. For a broader contract checklist, read how to protect yourself from bad wedding vendors.
If a tent is your rain plan, interview the tent
A tent turns a hailstorm into a structural question, as those Sydney guests found out. A marquee supplier's safety guidance warns that water can pool on top of a tent and heavy puddles may cause it to collapse, so the cover needs to stay taut and pooled water removed promptly.
Questions to ask the rental company before you book:
- What's the wind limit, and who decides to evacuate? Make sure your coordinator knows the number.
- Pitched roof or flat? A peaked or pole-style top sheds water better than a flat frame canopy. If two tents are joined, ask how the seam between them is guttered.
- How is it anchored? Stakes in grass, or weights on a patio or driveway. Ask who checks it on the morning.
- Are sidewalls included? Clear sidewalls keep the view and stop rain blowing sideways onto your guests.
- What's underneath? On low-lying lawns, ask about flooring or a raised subfloor.
- Heating, fans and power. Where does the generator go, and is it safe in rain?
- Where do people go if there's lightning? A tent is not shelter from a thunderstorm. Know which building guests walk to, and how long it takes to get 100 people there.
Heat is weather too
Heat doesn't go viral the way hail does, but it's the threat most likely to send guests to sit in their cars with the AC on. Low-drama fixes:
- Move the ceremony later, toward golden hour, and keep it short. Our hour-by-hour wedding day timeline shows how to shift the whole day without squeezing dinner.
- Put the ceremony seating in shade, or face guests away from the sun.
- Stock water at the ceremony entrance, not just at the bar.
- Tell guests in advance. "The ceremony is on an unshaded lawn and it will be warm" on your website changes what people wear.
The 72-hour decision rule
Most rain-plan panic comes from never agreeing when to decide. Agree now with your partner, planner and venue, and put it on the timeline.
- 7 days out: Watch the forecast, but don't change anything. Long-range forecasts move. Confirm your rain plan is still held.
- 72 hours out: First real check. If there's a named storm heading your way, call your insurer and venue now, not the morning of.
- 48 hours out: Decision day for the tent, chairs and rentals. Many rental companies need this lead time to deliver sidewalls or heaters.
- 24 hours out: Final call for indoor versus outdoor ceremony. Tell vendors and guests the same evening.
- Morning of: Only small adjustments, like moving the cocktail hour under cover or the photo locations.
- During: Lightning or high wind means people go inside, whatever the plan said.
Choose one person to make the call and one person to send the update. Markel's hurricane guidance makes the same point: designate one person to notify guests and vendors. It shouldn't be either of you.
Wedding insurance: what weather coverage usually does and doesn't do
What it typically covers. Cancellation and postponement coverage can reimburse lost deposits, non-refundable payments and rescheduling costs if extreme weather forces you to cancel or postpone, according to Consumer Reports and Markel. BriteCo's guide lists hurricanes, tropical storms, severe winter weather, tornadoes and wildfires as the kinds of events most policies cover.
What it typically doesn't. BriteCo is blunt: policies "will not cover run-of-the-mill severe weather, such as a regular summer thunderstorm," or weather that doesn't actually endanger the event. Rain on your outdoor ceremony is a reason for a rain plan, not a claim.
The gray zone. A Travelers executive told Consumer Reports that weather declared a state of emergency is typically honored, while a localized severe storm is decided case by case, partly based on whether the situation was within the customer's control.
The timing trap. If you buy after a hurricane is already forecast for your date and venue, it may be treated as a "known event" and not covered, BriteCo warns. Markel says its coverage can be bought anytime up to 14 days before the event. The practical rule: if your date falls in hurricane season, buy at the start of planning, not when the forecast turns.
Prices vary. Consumer Reports cited policies around $235 to $255 for $25,000 of cancellation and postponement coverage, and Markel advertises policies starting at $130. Read the list of covered weather events before you rely on it.
How to tell 100+ guests about a change, fast
This is where backup plans fall apart. The plan is fine; nobody knows about it. You send 100 texts, half your guests hear a different version from a cousin's group chat, and Aunt Linda drives to the lawn.
The fix is boring and it works: one source of truth, one message.
- Update one page. Your wedding website should have a "Day-of updates" section or schedule page that already says, from day one, "In case of rain, the ceremony moves to the Grand Hall." When the plan changes, you edit that page. Markel's hurricane guidance recommends exactly this: use a wedding website to post updates when plans change.
- Send one message that points to it. For example: "Weather update: the ceremony is moving indoors to the Grand Hall at the same time. Details and parking on our website: [link]." Send it by email and to your wedding party and family group chats. Ask parents to forward it to the relatives who don't do email.
- Keep the details on the page, not in the message. New time, new address, parking, what to wear, whether the shuttle still runs. If plans change again, the old message still points to the right answer.
- Know who's coming. If you're postponing, your RSVP list is your contact list. Having attending, declined and pending guests tracked in one place makes the second round of invites much less painful.
On Wedflip, schedule and travel pages can be edited and republished any time, and online RSVP tracks who's attending, declined or pending. Set it up early, and on a stormy Thursday you're changing one line, not rebuilding anything.
FAQ
What should a wedding rain plan include?
A named indoor or covered space that seats your guest count, a written decision deadline, any extra fees, who makes the final call, and how guests will be told.
When should we decide to move the wedding indoors?
Pick the deadline in advance. Many couples use 48 hours out for tents and rentals and 24 hours out for the final ceremony call, which gives vendors time to adjust and guests time to see the update.
Does wedding insurance cover rain?
Usually not. Ordinary rain or a passing thunderstorm generally isn't covered. Policies are aimed at severe weather that forces cancellation or postponement, such as a hurricane, and buying after a storm is forecast can rule out coverage for that storm.
Should we have an outdoor wedding during hurricane season?
You can, but plan for it: buy insurance early, get a postponement clause in your contracts, choose a venue with a real indoor option, and set up a guest update page before you send invitations.
The bottom line
Weather is the one wedding vendor you can't book, brief or replace. You control everything around it: a rain plan in the contract, a tent you've questioned, an agreed decision deadline, insurance bought before the forecast turns, and one place guests know to check.
The Sydney guests with the chairs and the Hatteras islanders in 400 cars are wonderful stories. A good plan just means your wedding becomes a slightly less dramatic one.
