How Many Wedding Guests Actually Come? Real Headcount Math

You send out 150 invitations. You won't get 150 guests. Every wedding planner knows this and almost every couple forgets it, then signs a venue contract and a catering minimum for a number that was never going to show up.

The good news is that attendance is fairly predictable once you stop treating the guest list as one big number. Where people live, how far they have to travel and how many events you're asking them to come to all move the result, and you can estimate each of those before a single RSVP comes back.

The attrition numbers worth knowing

There's no official national statistic, so treat these as planning ranges, not promises. The published estimates land in roughly the same place:

• Zola says expert wedding planners estimate that "between 25-40 percent of guests invited to a wedding can't make it." Invite 200, expect roughly 120 to 150.
• Inside Weddings puts the average attendance rate at 70–80%, falling to 50–60% for destination celebrations.
• OMG Hitched gives the widest range: 15% to 40% of guests may not show up, with about 85% of local guests attending, about 55% of out-of-town guests, and as few as 35% for a destination wedding. It also notes that small weddings of 50 to 100 guests can approach 90% attendance, while very large weddings average closer to 75%.

Cost is a real factor too. In a July 2024 survey of 1,024 Americans by DatingNews.com (reported by Fox 9), 29% said they had skipped a wedding that year because it was too expensive to attend. The same survey found guests spent an average of $360 on a local wedding versus $901 on an out-of-town one. That gap is most of the reason distance changes your numbers so much.

The pattern is consistent: the closer and smaller the wedding, the more people come.

Split your list before you estimate

One blended percentage hides the thing that matters most, which is travel. Before you run any numbers, tag every invited guest (or household) with one of three labels:

• Local: can drive there and sleep in their own bed.
• Out-of-town: needs a flight, a long drive or a hotel.
• Destination: the whole wedding is somewhere most guests must travel to, like a beach in Mexico or a villa in Italy.

Then add a few personal adjustments that no statistic can make for you:

• Immediate family and the wedding party almost always come. Count them at or near 100%, whatever their location.
• Elderly relatives, new parents and guests with health issues may decline long trips even if they'd love to be there.
• Dates near major holidays or in peak travel season can push declines up, especially for out-of-town guests.
• Plus-ones follow their partner. If the invited guest declines, so does their guest.

If you keep a B-list (Zola describes it as people invited once declines start coming in), your estimate tells you roughly how many spots might open up.

A worked headcount example

Here's a hometown wedding with 150 invited guests, using the OMG Hitched rates (85% local, 55% out-of-town) and treating the inner circle as certain.

So this couple should plan around roughly 115 to 120 guests, not 150. That lines up with Zola's range: a 25–40% decline rate on 150 invites gives 90 to 113, and Inside Weddings' 70–80% gives 105 to 120.

Now the same list as a destination wedding. At OMG Hitched's 35%, 150 invites becomes about 53 guests. At Inside Weddings' 50–60%, it's 75 to 90. That's a huge spread, which is exactly why destination couples should lean on early save-the-dates and a hard RSVP deadline instead of a guess.

Two rules for using your estimate:

1. Book the venue for the full invited count, or close to it. You can't uninvite people if more say yes than expected. A room that fits 150 comfortably holds 117 just fine.
2. Keep catering flexible until the deadline. The estimate is for planning, the RSVPs are for ordering. Check your contract for when the final number is due and whether you can lower the minimum. (Our wedding budget by category breakdown shows how much of your budget rides on per-head costs.)

How to set an RSVP deadline

Your RSVP deadline isn't a date you pick for aesthetics. It's a date you work backward from your vendors.

Ode's guide to online RSVPs suggests setting the deadline four to six weeks before the wedding, which is when caterers typically want final numbers. Aisle's guidance adds the useful framing: set the deadline early enough to resolve missing answers before the earliest supplier deadline. That might be your caterer, but it could also be your hotel room block release date or a rental company.

A simple way to set it:

1. List every vendor deadline that depends on headcount: catering, rentals, room block, transport, seating chart, welcome bags.
2. Find the earliest one.
3. Set your RSVP deadline one to two weeks before it, so you have time to chase.
4. Print the deadline on the invitation and put it on your wedding website, in the same words.

If you have a hotel room block, its release date often comes first.

How to chase non-responders (without sounding annoyed)

Every couple gets a rush of replies right before the deadline and then a stubborn tail of people who never answered. Ode describes this pattern exactly: the last-minute cluster, then the holdouts.

The most important rule comes from Aisle: treat silence as pending, not as a decline. Plenty of non-responders fully intend to come and simply forgot to click the link. If you count them as a no, you'll be short a chair and a meal.

A chase plan that works:

• Three days after the deadline: send a short, cheerful message to everyone still pending, with the RSVP link. Ode recommends exactly this: a "short, cheerful chase message with the link."
• A week after the deadline: call or text the remaining few personally. Split the list between you and your partner by whose guests they are.
• For older relatives: offer to take their answer by phone and enter it yourself. Ode estimates about two minutes per guest.
• For anyone still silent: ask a parent or close mutual friend to check in.

Something like this does the job:

"Hi Jordan! We're finalizing numbers for the caterer this week. Can you let us know if you'll make it? Here's the link: [your RSVP link]."

This is where an online RSVP pays for itself. With a guest-list RSVP, where you enter invited guests first and each household replies against its own entry, you can see exactly who hasn't answered instead of cross-checking paper cards. Ode notes this takes more setup than an open link anyone can fill in, but it controls plus-ones and shows the gaps. Wedflip's RSVP tracking, for example, sorts guests into attending, declined and pending and records plus-ones and meal choices, so the chase list is already sitting there.

Multi-day weddings: count each event separately

Wedding weekends are now common: welcome drinks on Friday, ceremony and reception on Saturday, a farewell brunch on Sunday. (If you're still deciding whether to do one, our wedding weekend planning guide walks through the trade-offs.)

The mistake is assuming one "yes" covers everything. A guest might arrive Saturday morning and skip Friday, or catch an early Sunday flight and miss brunch. Aisle's guidance is to collect a separate reply for each event that needs its own headcount, using exactly that Friday welcome, Saturday wedding, Sunday brunch example.

Here's how that looks in practice for the 117-guest wedding above. These counts are illustrative, not data:

A few practical points:

• Ask per event in your RSVP questions. Something as simple as "Which events will you join? Welcome drinks / Wedding / Brunch" gives every caterer and venue its own number.
• If an event has its own cost (a boat trip, a paid dinner), Aisle points out that a general "yes" doesn't prove payment. Track those replies separately.
• If your RSVP tool can't split events, collect the side events with a short separate form, or a reply to your welcome email.

On a Wedflip site, list each event with its time and place on the schedule page so guests know exactly what they're being asked about before they reply. For itinerary ideas, see our multi-day wedding weekend itineraries.

Your headcount checklist

• Tag every guest as local, out-of-town or destination
• Mark immediate family and wedding party as near-certain
• Run the worked-example math and write down a low, likely and high number
• Book a venue that fits the full invited count
• List every headcount-dependent vendor deadline and find the earliest
• Set your RSVP deadline one to two weeks before it (often four to six weeks out)
• Put the same deadline on the invitation and the website
• Ask per-event attendance for every event that needs its own number
• Chase pending guests three days after the deadline, then personally
• Send final numbers to each vendor, event by event

FAQ

What percentage of wedding guests don't come?

Published estimates range from about 15% to 40%. Zola cites planners estimating 25–40%, Inside Weddings puts attendance at 70–80%, and OMG Hitched says local guests attend at around 85% while out-of-town guests attend at around 55%. Your real number depends heavily on how many of your guests have to travel.

How many people should I invite to get 100 guests?

For a hometown wedding with mostly local guests, inviting around 125 to 135 is a reasonable starting point, based on 75–80% attendance. With many out-of-town guests, you may need more. Only do this if your venue can hold everyone in case more people say yes than expected.

When should the RSVP deadline be?

Usually four to six weeks before the wedding, but the real rule is to set it one to two weeks before your earliest vendor headcount deadline, whether that's catering, rentals or a hotel room block.

Should I count guests who never RSVP?

Not as a "no." Treat them as pending and follow up personally. Many non-responders do plan to attend, and assuming otherwise is how couples end up short on seats and meals.

The bottom line

Your invited count and your headcount are two different numbers, and the gap between them is predictable. Split your list by distance, run the math, book for the full list, and let the RSVPs, collected per event and chased politely, set the final order.
